Duties and Responsibilities:

  • Provide administrative support for executive leadership (VP & above).
  • Act as first point of contact to executives by providing a professional and efficient service to meet their ongoing needs.
  • Manage executives’ schedules, calendars and appointments ensuring the most effective use of resources (e.g. Teams, travel costs)
  • Outline and complete duties for department(s) at site or corporate office where planning and execution may have site wide impact.
  • Ensure security, integrity, and confidentiality of data
  • Responsible for developing standards and identifying activities that enhance operational procedures of the site. Partner with HR, management, and Legal to maintain office policies and procedures as necessary
  • Produces management information by compiling, reviewing, and analyzing standard and ad hoc reports; summarizing information; identifying trends and making recommendations for improvement. 
  • Develop and maintain department(s) filing systems, ensure files are current and meet department(s) contractual, legal, and other retention requirements
  • Participates in meeting financial objectives by reviewing expenditures for compliance to company/site policies and procedures as well as opportunities for cost savings; analyzing and resolving variances; and recommending/initiating corrective actions. 
  • Communicate effectively to relevant personnel via oral, written, and visual media using the most effective and applicable equipment, software, and/or systems as required.
  • Develop and/or work with Communications and others to coordinate the planning of various types of meetings, including identification of participants, the development of meeting materials as necessary, and creating or reviewing PowerPoint presentations and site communications.  
  • Working with Communications, HR, or other corporate function(s), participate actively in the planning and execution of company/site/customer facing events.
  • Research and summarize information with supporting data in preparation for meetings, work projects, reports, and budgets.
  • Initiate and monitor spending requests for office supplies, equipment, and business meetings.
  • Activities to support efficient site operations, as outlined by site leadership and HR.
  • Determine and enhance efficiency of daily and ongoing activities

 

 

Education and Qualifications:

  • Bachelor’s Degree
  • 1-3 Years of Experience
  • Commitment to excellence and result orientation
  • Communication and presentation skills in an international business environment at all hierarchy levels of the organization
  • Embrace and actively manage change
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Demonstrated proficiency in internet navigation for information and data gathering.
  • High level interpersonal skills, poise, tact, and diplomacy required to handle sensitive and stressful situations
  • Apply proficient knowledge of policies and procedures of assigned department
  • Availability to work on afternoon shift (14- 22) CET
