Job description:

  • Assists with the process of executing and managing documents, including obtaining signatures for documents, and gathering, organizing, and managing the company's documentation.
  • Verifies proper approvals for signature requests, and certifies that all documents are signed by authorized individuals.
  • Assists in finding documents and performs routine document management and retention.
  • Works with other departments to ensure compliance with the company's document management policy.
  • Keeps track of versions of documents received, and ensures current documents are uploaded to the database.
  • Collects and organizes hard copy original documents; coordinates, manages, and maintains inventory of electronic and hard copy documents.
  • Prepares, scans, checks, and organizes documents, adhering to policies, procedures, and quality controls.
  • Ensures completeness of files, researches missing documents, and removes non-essential material.
  • Coordinates and maintains the flow, location, and storage of electronic and hard-copied controlled documents such as procedures, photographs, computer printouts, protocols, technical reports, audits, facility records, validation documents, department files, resource materials, and important certificates.
  • Organizes and catalogues documents and records to facilitate easy access to stored documents.
  • Provides assistance and conducts searches for users needing or initiating stored documents.
  • Delivers information by telephone, in written form, e-mail, or in person, and provides paper or electronic copies upon request.
  • Ensures that items are properly packed, catalogued, tracked, scanned, and acquired or discarded to provide a chain of custody.
  • Provides feedback to determine needs, assess risk mitigation, and ensure compliance to company procedures and regulations.
  • Provides support for internal audits for company document-retention compliance.
  • Establishes and maintains effective communication and coordination with management and with other departments to obtain and convey information and/or to correct transactions

 

Requirements:

Associate degree and/or demonstrated 5-10 years of related experience in document controls and document management.  Millstone experience is a plus but not required.

Work Schedule:  Mon - Thursday 6:00 a.m - 4:30 p.m. (4-10"s)

Overtime during non-outage:  As needed;  Outage schedule:  65-72 hours / week
