We are searching for a Transmission / Substation Administrative Assistant.  This is currently a short-term temporary position (3-6 months) with the potential for long term opportunities. The person will be responsible for general administrative support to the Early-Stage Transmission / Substation Project Management Team.  The Administrative Assistant collects, compiles and analyzes moderately complex data and information, composes straightforward written descriptions of results, and requires the ability to exercise independent judgment and employ basic reasoning skills.

 

This role requires the capabilities of developing tools and processes to aid in bid analysis, tracking key indicators, and creation of best management practices (aka BMP’s—process maps and guidelines).  Tools may be developed in Power BI, EXCEL, ACCESS, Vizio, Word, One Note, or similar applications.  Tools may include tracking progress of initiatives, scheduling, or meetings.

Responsibilities

  • Support of RFP document generation and uploading to Unifier.
  • Receive direction from PMs on specific project RFP submittal information and incorporate into draft bid proposals.
  • Help with tracking RFI’s, responses, and Unifier tasks.
  • Conversion and data transfer from internal server to web-based SharePoint sites for the transmission / substation portfolio.
  • Storage of deliverables on the corporate server, SharePoint or unifier.
  • Drafting white papers, justification memos, and general presentations.
  • Keep meeting notes and distributing to meeting attendees.
  • Creating purchase order requests (shopping carts), processing change orders, and requesting monthly accruals from vendors.
  • Draft Non-Disclosure Agreements (NDAs) and obtain proper approvals.

 

Required Qualifications

  • AA degree or equivalent experience
  • Proficient in MS Office tools-EXCEL, Word, Power Point, Vizio, etc.
  • Excellent organizational, communication, analytical and problem-solving skills.
  • Ability to communicate clearly and document critical verbal communications via e-mail or meeting minutes.
