About the role:
We are looking for a proactive Business Executive Assistant to join our dynamic Business Unit in ELA OMS.
As a Business Executive Assistant you will assist the Boards of Directors of the Spanish legal entities, support the Business Unit and support the Institutional Relations following the corporate policies and protocol in the country.
You will report to the Senior VP , ELA OMS and be located at Madrid.
Hybrid work schedule.
Proficiency in English, Spanish, and a third language is necessary to facilitate communication in our multicultural environment.
Main Responsibilities:

Support to Boards of Directors of local Legal Entities:
-
Preparation and distribution of all documentation for the Boards of Directors of the Spanish legal entities: meeting notices, agendas, board packs, formal minutes and resolutions, certifications, and associated legal documentation.

Management of the annual governance calendar in accordance with local legal requirements: annual meetings, committees (audit, risk, remuneration, …).

Coordination with Legal to ensure the management of corporate records, powers of attorney, renewals, and mandatory documentation before regulatory authorities. Review of compliance with deadlines and legal obligations.

Business Support:

Anticipating needs and independently resolving scheduling conflicts to optimize according to business priorities.

Support in the preparation of executive presentations.

Analysis and preparation of the necessary information.

Coordination of critical meetings, committees, and business reviews, ensuring logistics and preparation of presentations for participants.

Support in preparing post-meeting executive summaries to ensure clarity and execution.

Follow-up on action plans.

Institutional Relations and Protocol:

Coordination of institutional visits, corporate events, and relationships with regulators at WEC facilities in Spain.
Qualifications:
-
Advanced university studies are desirable (such as Business Administration, Law, International Relations, Political Science, or similar fields).

Additional training in Corporate Governance, Corporate Secretary, Compliance, or PMO is desirable.

5–8 years of experience as a high-level Executive Assistant or in similar roles (such as Junior Chief of Staff, Board Coordinator).

English and Spanish Proficiency, third language would be very valuable.
